General billing software or solar quotation software?

General billing software is built to invoice and keep accounts, which Bharat Solar Venture does not do. A solar quotation tool is built for the step before the invoice: capacity-based pricing, a bill of materials, system modes, a subsidy estimate and quotation revisions. The two usually work side by side.

What billing tools do well

Billing and accounting tools issue invoices, record payments and support returns. If you need those, keep using one. Bharat Solar Venture does not issue GST invoices, record payments or file returns.

What a solar-specific tool adds

Solar quotations are priced and described differently from generic line items:

  • Pricing by capacity in kilowatts, with rate ranges by installation type, system mode and tier
  • A bill of materials per system mode, copied into the quotation
  • An optional battery line with its own pricing and GST
  • An indicative subsidy estimate with a disclaimer
  • Revisions and statuses designed around the quotation lifecycle

Using both

One way to work is to quote in Bharat Solar Venture and, once a customer accepts, raise the invoice in your accounting tool. The accepted status and the PDF give you the reference to work from.

Common mistakes

  • Expecting Bharat Solar Venture to issue the invoice

It does not issue GST invoices, record payments or file returns.

  • Replacing your accounting tool

Bharat Solar Venture covers quotations only, so keep your billing or accounting tool for invoices and returns.

  • Rebuilding solar pricing inside a billing tool

Capacity-based rate ranges, system-mode bills of materials and revisions would all have to be built and maintained by you.

  • Raising the invoice without the accepted quotation

There is no quotation-to-invoice conversion. Refer to the accepted status and the PDF when you invoice elsewhere.

What to check before you send

  • The quotation is marked accepted before you raise an invoice in your accounting tool
  • You have the PDF of the accepted quotation to refer to
  • The pricing basis on the quotation is capacity in kilowatts, as your rate ranges expect
  • Any subsidy box is understood as an estimate, not a billed amount
  • You know which tool owns which step: quotations here, invoices and returns elsewhere

Frequently asked questions

Does it replace my accounting software?

No. It covers quotations only.

Can I convert an accepted quotation into an invoice?

There is no invoice feature. Use your accounting tool and refer to the accepted quotation.

Why not just add solar fields to my billing tool?

You can, but capacity-based rate ranges, system-mode bills of materials and revisions would all have to be built and maintained by you.
