Solar quotation terms and conditions template

These are the default terms and conditions the app puts on a solar quotation: delivery, validity, warranty, payment, scope of work and exclusions. Copy the text, then adapt it to your contract. It is a starting point, not legal advice, and any figure in it needs checking before you rely on it.

Not legal advice. These are generic default terms: adapt them to your contract and have a lawyer review the version you use.

How to use this template

Read each section against how you actually work. Keep the clauses that match your practice, rewrite the ones that do not, and delete any that you will not honour. A term you do not follow is worse than no term, because the customer may rely on it.

1. Delivery & Installation

Delivery and installation will be completed within 4-6 weeks from receipt of advance payment and required approvals.

This section states a figure or duration. Check it against what you can deliver and the manufacturer's datasheet before you use it: "Delivery and installation will be completed within 4-6 weeks from receipt of advance payment and required approvals."

2. Exclusions

Civil work, additional structural reinforcement, net-metering application fees and statutory approvals (unless explicitly quoted) are excluded from this offer.

3. Validity

This quotation is valid until the date mentioned as "Valid Until" on the first page, after which prices are subject to revision.

4. Warranty Support

Solar modules and inverters supplied under this quotation carry their respective manufacturer warranties. Please see Warranty Details below.

5. Contract Price Scope

The quoted price includes transportation and insurance of the equipment up to the project site only. Any transportation, handling, lifting or insurance beyond the project site is outside the scope of this quotation unless stated otherwise.

6. Net Metering

The customer is responsible for meeting the requirements of the local Electricity Board / DISCOM for the net-metering approval process, including any documents, applications and fees it requires, unless explicitly stated otherwise in this quotation.

7. Warranty Details

  • All equipment is covered by its original manufacturer's warranty only.
  • The warranty does not cover damage caused by mishandling, abuse, normal wear and tear, sabotage, force majeure, lightning, overvoltage or animal damage. The customer should cover these risks under their own property or fire insurance.
  • Performance: solar modules typically maintain roughly 90% of their rated output for the first 10 years and roughly 80% from year 11 to year 25, provided they are kept clean and free of shadow. Please refer to the module manufacturer's datasheet for the exact terms.

8. Terms of Payment

Payment is milestone-based: an advance when the order is placed, a further portion before dispatch of material, and the balance after commissioning. The exact split is as agreed in writing.

Please make all payments only to the bank account details shown on this quotation.

9. Scope of Work - Vendor

  • Design and engineering of the plant layout.
  • Procurement of all components listed in the Bill of Materials.
  • Installation of the system.
  • Testing and commissioning.

10. Scope of Work - Client

  • Provide a shadow-free installation site with adequate space.
  • Provide a suitable space for the inverter and electrical components.
  • Arrange any required local clearances and permissions.
  • Provide safe access to the site.
  • Complete site-readiness work such as drainage, fencing and lighting.
  • Provide power and water during construction and for module cleaning.
  • Arrange property, fire and third-party insurance after commissioning.

11. Benefits of Rooftop Solar

General benefits of rooftop solar (actual results vary with site, usage and tariff):

  • Lower electricity bills.
  • Low maintenance.
  • Helps protect the roof from direct heat.
  • Modular, so capacity can be expanded later.
  • Positive environmental impact.

Figures and dates in the terms

Where a default states a duration, a performance level or any other figure, the page flags it for checking. Replace it with what you can actually deliver and what the manufacturer's datasheet says.

Where these terms appear

In a quotation, the terms sit on their own page after the bill of materials, and your bank details follow the payment terms. The scope and benefits lists come from the same editable sections, so a change here is a change everywhere.

Frequently asked questions

Can I use these terms as they are?

You can start from them, but you should not sign a contract on them unchecked. They are generic defaults, and a lawyer should review the version you will use.

Why are some sentences flagged for checking?

Any sentence that states a figure, such as a duration or a performance level, is flagged, because those are the claims most likely to be wrong for your business.

Can I edit the terms for each customer?

Yes, in the app each section is editable and can be switched on or off, so the terms on a quotation can differ from your defaults when a job calls for it.

How we verify data

Common mistakes

  • Using the defaults unchecked

These are generic defaults, not written for your contract, your state or your customer. Have a lawyer review the version you will use.

  • Keeping a term you do not follow

A term you do not follow is worse than none, because the customer may rely on it.

  • Leaving a flagged figure in

A default that states a duration, a performance level or any other figure is flagged for checking. Replace it with what you can deliver and what the manufacturer's datasheet says.

What to check before you send

  • Each section matches how you actually work
  • Clauses you will not honour are deleted
  • Every flagged figure is replaced with one you can deliver
  • A lawyer has reviewed the payment, warranty and liability wording
  • Your bank details follow the payment terms
