One tap, a ready message

The WhatsApp button opens a chat with a prepared message: it greets the customer by name in capitals, as printed on the PDF, mentions the quotation's serial number and your company name, and includes the link. The email button opens your own email app with the same text and a subject line. Bharat Solar Venture does not send email on your behalf.

When the link stops working

A customer who opens a link that is no longer valid sees a plain message instead of the PDF. The link stops working when:

• The quotation was marked as declined
• The quotation expired, or its validity date has passed while it was still sent
• A newer revision of the same quotation was issued

Open to the customer, hidden from search

The customer needs no account: the link opens the PDF directly. It contains a random identifier that is unrelated to the customer's details, and the response tells search engines not to index it. An accepted quotation stays viewable.

Example: sending a pump quotation to a farmer

A solar pump quotation is a quotation like any other. It uses the VFD installation type and the VFD system mode, and finalizing it issues a serial number and a permanent PDF link, so a dealer shares it the same way as a rooftop quotation.

Take a dealer who has finalized a quotation for a farmer. Phone and email on the customer record make sharing quick, so the dealer checks the farmer's phone number first and then presses the WhatsApp button. The chat opens with the farmer's name in capitals as printed on the PDF, the serial number, the company name and the link, and the dealer sends it. The farmer taps the link and the PDF opens; no account is needed.

If the farmer then asks for a different pump capacity, the dealer creates a revision instead of editing the sent quotation. Once the revision is finalized, the first link stops working and shows the farmer a message to ask for the latest quotation, so the dealer sends the new link straight away.

   Bharat Solar Venture does not send email on your behalf, so you press send in WhatsApp or in your email app.

Common mistakes

• Sharing the link of an older revision

  Once a newer revision has been issued, the older link shows a message asking the customer to request the latest quotation from you.

• Sharing a quotation that was declined or has expired

  The link stops working in both cases, and the customer sees a plain message instead of the PDF.

• Sharing before the PDF is ready

  If the PDF is not ready yet, the customer sees a message to try again shortly. If the upload failed, retry the PDF from the quotation.

What to check before you send

• The quotation is finalized and shows the sent status
• You are sharing the link of the newest revision
• The validity date has not passed
• You opened the link yourself once and the PDF appeared
• The customer's name is the way you want it printed
• For a pump quotation, the farmer's phone number on the customer record is right
