What you enter

A quotation starts with a customer from your customer list. You then pick the installation type (residential, commercial or VFD), the system mode (on-grid, off-grid, hybrid or VFD), a price tier (premium, standard or economy) and the capacity in kilowatts. Module specification, module brand and inverter brand come from your catalog.

• An optional battery line with its own unit price, quantity, discount and GST rate
• A flat rupee discount on the system line, the bill-of-materials line and the battery line
• A separate GST rate for each of those lines

Rates come from your price book

When you set the capacity, the system rate and bill-of-materials rate per kilowatt are looked up in the price book you maintain for that combination. You review them on the quotation before saving, so a one-off deal never has to change your standard rates.

Draft first, then finalize

A quotation stays a draft while you work on it and nothing is sent. When you finalize it, Bharat Solar Venture assigns the serial number, copies your bill-of-materials template for that system mode into the quotation, applies a default validity period if you have not set one, renders the PDF and creates the permanent share link.

Only a draft can be finalized. To change a quotation you have already sent, you issue a revision under the same serial number instead of editing it in place.

   Choose the customer

   Pick a customer from your customer list. Their state must be on file, because GST depends on it.

   Set the system

   Choose the installation type, system mode, price tier and capacity in kilowatts, then pick the module specification, module brand and inverter brand from your catalog.

   Review the rates

   The system and bill-of-materials rates come from your price book. Check them on the quotation and change them there if this deal needs it.

   Add optional lines

   Add a battery line if the customer wants one, and any flat rupee discounts, each line with its own GST rate.

5. 5

   Finalize

   Finalize the draft to get the serial number, the PDF and the share link. Only a draft can be finalized.

Common mistakes

• Finalizing before checking the rates

  Rates fill in from the price book, but you can still change them on the quotation. Once a quotation is finalized it counts as sent, so a wrong rate is fixed by issuing a revision.

• Leaving the customer's state blank

  GST is worked out from your company's state and the customer's state. If either is missing, Bharat Solar Venture asks you to add it instead of guessing.

• Expecting a draft to reach the customer

  A quotation stays a draft while you work on it and nothing is sent. The customer receives something only after you finalize and share the link.

What to check before you send

• The customer and the customer's state are on file
• Installation type, system mode, tier and capacity match the job
• The module specification, module brand and inverter brand are chosen from your catalog
• The rates and GST rates on each line are the ones you intend to quote
• Any discount is a flat rupee amount on the correct line
