How to follow up on solar quotations

Follow up on a solar quotation soon after sending it, with a reason to call, and keep going at a pace the customer accepts. Ask what is holding the decision, answer the questions customers raise, send a revision instead of a new file, and record every outcome. Promise no result from following up.

Follow up with a reason

A call that only asks whether the customer has decided is easy to avoid. A call that offers something is easier to take: confirming the quotation arrived, offering to explain a line, or arranging a site visit. Fix the next contact before you hang up so the quotation does not go quiet.

Match the channel to the customer. Many customers prefer a message on WhatsApp to a call, and a link that opens the quotation on a phone is easier to reread than a file.

Find out what is holding the decision

Most delays have a reason you can ask about. Ask open questions, and listen before you answer.

  • Price: is the concern the total, the payment schedule, or the comparison with another quotation?
  • Subsidy: is the customer unsure how much to expect and when it arrives?
  • Trust: does the customer want references, documents or a visit to a working system?
  • Timing: is a family decision, a bill cycle or a roof repair involved?

Answer the questions customers raise

Customers often ask how much roof is needed, whether the modules qualify for the subsidy, and what the warranty covers. Keep short, honest answers ready, and point to the quotation lines that hold the details.

On the subsidy, say that the figure on the quotation is an estimate, and that the final amount follows the scheme's own rules. Do not promise an amount to win the order.

Send a revision, not a new file

If the customer changes the size, the equipment or the terms, send a revision of the same quotation. The old link stops working when a newer revision is sent, so the customer holds one current version.

Record the outcome in the quotation's status as you learn it, whether accepted, declined or still open. That record shows which quotations are worth another call and which are closed.

Know when to stop

Following up is not pressing. If the customer says no, record it as declined and thank them. A quotation can also expire, so check that the one you chase is still valid before you send a link.

Step by step

  1. Confirm it arrived

Check that the customer received the quotation and can open it.

  2. Fix the next contact

Agree when you will speak again before the call ends.

  3. Ask what is holding the decision

Use open questions on price, subsidy, trust and timing.

  4. Send a revision if things change

Revise the same quotation rather than starting a new file.

  5. Record the outcome

Update the status to accepted, declined or open as you learn it.

Common mistakes

  • Calling only to ask if they have decided

A call with no reason is easy to avoid, so offer something such as an explanation or a visit.

  • Promising a subsidy amount to win the order

The figure is an estimate and the final amount follows the scheme's rules, so promise none.

  • Sending a new file for every change

Revise the same quotation so the customer holds one current version.

  • Not recording the outcome

Without statuses you cannot tell which quotations deserve another call.

What to check before you send

  • The customer received the quotation and could open it
  • The next contact is fixed and written down
  • You asked what is holding the decision before answering
  • Any subsidy talk calls the figure an estimate
  • The quotation is still valid, not declined, expired or superseded
  • The status is updated to match what the customer said

Frequently asked questions

How soon should I follow up?

Soon enough that the quotation is still fresh, with a reason for the call. There is no single right interval, so fix the next contact each time and keep to it.

How many times should I follow up?

Until the customer decides or asks you to stop. Respect a no, record it, and avoid contacting the customer more often than they accept.

Does following up raise the chance of an order?

This guide makes no claim about conversion. It describes practices that keep a quotation from going quiet, and you can read your own results from the statuses you record.

Should I send a new quotation when something changes?

Send a revision of the same quotation. The customer then holds one current version, and the earlier link stops working.
